About the PositionThe HIM Lead performs a variety of clerical and administrative functions to maintain clinical records, process release of information requests and assure department quality conformance in keeping with relevant WACs, RCWs, and other regulations and agency policies. Effectively maintains, organizes, processes and controls the flow of paper clinical documents within the department. Accurately and efficiently scans and indexes clinical documents according to prescribed indexing and scanning processes. Processes release of information requests according to regulatory and agency standards and within prescribed timelines. Provides exceptional customer service to both internal and external customers. Accesses electronic databases and software applications necessary to complete daily tasks. Other duties, responsibilities, and activities may change or be assigned at any time with or without notice.Position Functions & Responsibilities:1. Maintains clinical records, a combination of electronic and paper documents, in keeping with relevant WACs, RCWs, and other regulations and agency policies.1.1. Collects, organizes, routes and processes paper clinical records according to departmental processes.1.2. Follows the format and organizational matrix for paper documents.1.3. Troubleshoots frequent paper and electronic document questions.1.4. Interprets electronic demographic and tracking information (archive, EMR, scanning) for electronic information access and retrieval.2. Scans paper clinical documents into the electronic scanning system.2.1. Utilizes scanning software and hardware to effectively and efficiently scan documents into the agencies digital imaging system.2.2. Indexes electronic clinical documents in accordance with agency prescribed indexing matrix.2.3. Meets department scanning and indexing document timelines.3. Processes requests for information according to WAC/RCW/HIPAA guidelines and according to agency standards.3.1. Consistently maintains client confidentiality per WACs, RCWs, other legal regulations, and agency policies.3.2. Completes release of information requests within prescribed timelines.3.3. Accurately screens release of information forms/requests for validity and follows guidelines regarding confidentiality, ROI form completion and agency processes.3.4. Provides guidance and education to internal and external customers on release of information processes to effectively address their requests for confidential client information.3.5. Maintains departmental organizational standards for tracking, filing, responding, and organizing release of information requests to assure a unified and efficient process across the department.5. Monitors the quality and efficiency of key medical record processes (if applicable).5.1. Conducts quality review (QR) of documents scanned/indexed into the electronic medical record 5.2. Monitors medical record processes for effectiveness and efficiency and report QR findings.5.3. Assists in the training and development of agency staff on the scanning system when requested.5.4. High School graduate.
RHIT Certification preferred
4-5 years' experience working in the healthcare environment required.
Previous HIM experience and expertise in HIPPA preferred.
