Job Summary:
To provide administrative assistance and secretarial support to Partial Hospitalization Program/Mental Health Services, to manage confidential material in a tactful and discrete manner, and to provide research support for the organization.
Responsibilities:
- Maintains office procedures including but not limited to: patient billing, composing and transcribing business letters, memoranda, minutes, reports, confidential correspondence, word processing support for the Partial Hospitalization Program and Mental Health Services.
- Coordinates the process of maintaining office supplies, equipment and building operations and upkeep as necessary for efficient operations of the program.
- Assists Mental Health Services, Partial Hospitalization Program Manager and staff with schedules, time cards, charts and reports. Arranges educational programs, inventory of kitchen/office and program supplies as needed.
- Screens visitors, business contacts and phone calls promptly and efficiently.
- Maintains program files including manuals, minutes, reports, statistics, communications and forms per DNV, OMH and MHLS standards. Develops and implements statistical records and reports as needed.
- Assists with planning, organization and implementation of special projects such as seminars, conferences, and inservices.
- Prepares all programs correspondence including chart packets for treatment providers, NYS Disability, requests for medical records. Acts as recording secretary for committees. Provides courier services as needed.
- Prepares daily on call lists for Psych ER and daily on-call worker. Reports data monthly to OMH.
- Performs all Medical Records functions including assembling, filing, maintaining and retrieval of charts. Prepares charts to be archived and sent offsite.
- All new hires will agree to cross train and float to other Mental Health units as needed.
Requirements/Qualifications:
Education:
High School graduate AAS degree in Secretarial Services preferred or equivalent experience.
Experience:
Three to five years secretarial experience with two years of legal/health care preferred.
Training/License:
Knowledge of Medical Terminology, knowledge of Microsoft Word, Access, Excel, Patient Billing, PMCS, BLS.
Other:
Exceptional administrative secretarial skills, knowledge of computer operations, Hospital organization and policy procedure development. Excellent problem solving and interpersonal skills.Job Specific Contacts
